Motion Campervans Rental Terms & Conditions

Application of Terms
These Rental Terms & Conditions apply to all rental agreements between Motion Co., Ltd., trading as Motion Campervans (the "Company"), and the renter (the "Customer"). By completing a reservation, the Customer agrees to be bound by these Terms.
1. Reservation and Contract Formation
- A rental contract is concluded when the Company confirms the reservation and the full rental amount has been received.
- Payment is made in advance via Wise or credit card. Payment at vehicle pick-up is not accepted.
- No security deposit or credit card pre-authorization is taken. Instead, the Customer registers a valid credit card at check-in (see Section 10).
2. Rental Period
- The rental period runs from the agreed pick-up date and time to the agreed return date and time.
- Rental fees are charged per night.
- Pick-up and return take place at the agreed time and location. Times outside business hours (9:00 AM – 6:00 PM) require prior approval.
- Late return without prior approval is charged at the nightly rate plus any costs incurred by the Company for the following booking.
3. Cancellation and Reservation Changes
- Cancellations and date changes are calculated from the scheduled pick-up time, Japan Standard Time (JST).
- More than 72 hours before pick-up: Free date changes, subject to availability. Cancellations receive a full refund minus a 4% processing fee.
- 72 to 24 hours before pick-up: 50% of the rental fee is charged.
- Less than 24 hours before pick-up, or no-show: 100% of the rental fee is charged.
- The "rental fee" means the base vehicle rental charge only. Optional insurance and optional services paid in advance are refunded in full in all cases.
- Bank transfer fees on refunds are borne by the Customer.
- If a reservation is changed and later cancelled, this policy applies to the revised booking.
4. Basic Insurance (included with all rentals)

Insurance does not apply in the following cases: (1) Failure to file a police report; (2) driving without a valid license; (3) driving under the influence of alcohol or drugs; (4) unauthorized drivers; (5) violation of law or these Terms; (6) damage caused intentionally or by gross negligence.
5. Deductibles (Basic)

Deductibles are the maximum the Customer pays per incident. If the actual repair cost is lower than the deductible, only the actual cost is charged. Deductibles apply per incident, not per rental period.
6. Non-Operation Charge (NOC)
If the vehicle cannot be rented out due to accident or damage, an NOC is charged as compensation for loss of use:

No NOC applies to damage settled under the fixed-rate table in Section 7.
7. Minor Damage – Fixed-Rate Settlement
Exterior scratches up to 20 cm are settled at the fixed rates below instead of actual repair cost.

Rules: 1. Length is measured at the longest point of the damaged area. 2. Multiple scratches on one panel count as one area, charged at the longest scratch. Damage across two panels counts as two areas. 3. No NOC applies to damage settled under this table. 4. Pre-existing damage recorded in the pick-up photos is excluded. 5. Damage is assessed from the return photos and inspection.

Plan prices are shown at the time of booking. Plans may be selected or changed up to the day before pick-up. Optional plans do not cover the exclusions listed in Section 4.
9. Photos at Pick-up and Return
- The Customer photographs all four sides of the vehicle and any existing damage at pick-up, and again at return, using the check-in system.
- These photos are the basis for damage assessment. Damage not visible in the pick-up photos is deemed to have occurred during the rental.
10. Payment of Charges After Return
- Charges arising during the rental (damage, NOC, ETC tolls, fuel, parking, fines, cleaning) are calculated after return and invoiced via Wise or charged to the registered credit card.
- Payment is due within 7 days of the invoice.
- By registering a credit card at check-in, the Customer authorizes the Company to charge such amounts to that card.
11. Accidents and Emergencies
In the event of an accident, breakdown, or theft, the Customer must immediately contact the police and the Company and follow the Company's instructions. Failure to file a police report voids insurance coverage.
12. Prohibited Use
The vehicle may not be used for: driving by anyone not listed on the rental agreement; towing; racing or off-road driving beyond gravel access roads; smoking inside the vehicle; transporting pets without prior approval; or any illegal purpose.
13. Amendment of Terms
The Company may amend these Terms as necessary. Changes take effect upon publication on the Company's website and apply to reservations made after that date.
